Choosing a POS System: The Checklist Before You Sign a Contract
A point-of-sale system is one of the longer-term commitments a small business makes, since switching later usually means new hardware, new training, and a break in transaction history. A short checklist before signing prevents most of the regret.
Why the contract matters more than the hardware
Most POS hardware on the market today handles basic checkout well -- the real differences that matter later show up in the contract: how long you're locked in, who owns the hardware, and what fees show up after the honeymoon rate expires.
The checklist before you sign
- Ask for the rate schedule after any introductory period ends, in writing, not just the headline rate
- Confirm whether hardware is owned or leased, and get the buyout cost if leased
- Check for an early termination fee and how long the contract auto-renews before you can exit
- Ask exactly what happens to your transaction history and reporting if you switch providers later
- Get monthly minimum fees and PCI compliance fees in writing, not verbally quoted
Red flags worth walking away from
A verbal-only rate quote with nothing in writing, a multi-year auto-renewing contract with a steep early termination fee, and vague answers about what happens to your data if you switch providers are all signs to slow down before signing. A transparent provider will put the full rate schedule and contract terms in writing without resistance.
