Compliance-sensitive merchants

When the rules move, your payments shouldn’t stop.

CBD and hemp, cannabis-adjacent retail, credit repair, and similar categories get judged by a code instead of a business. PayWavez underwrites the merchant, issues a dedicated Merchant ID, and configures the disclosure and surcharge rules at the terminal — so a rule change is a settings update, not a shutdown.

Dedicated Merchant ID, never a shared or aggregated account. Debit is never surcharged.

The problem

Approval was never the hard part. Staying open was.

Most merchants in these categories have already been approved somewhere — and then lost it. The pattern repeats for a few specific reasons.

Approved by category, reviewed later

Fast yes, sudden no

Aggregators onboard first and read the detail later. When a periodic review reaches your category, the account can close with little notice and funds can be held while it is sorted out.

Shared accounts

Someone else’s risk becomes yours

On an aggregated Merchant ID, your business shares standing with every other merchant under that account. You inherit decisions you had no part in.

Moving rules

State law changes mid-year

Surcharge and disclosure requirements differ by state and get amended. If your terminal and signage were configured once and forgotten, compliance quietly expires.

Disclosure left to staff

Manual math at the counter

Programs that ask a cashier to remember which cards get a fee and what to say produce inconsistent receipts — the exact detail a review looks at.

Generic underwriting

Nobody read your documents

A licensed, well-run business and a careless one look identical on a form that only captures a category. If nobody reads the license or the product list, the license does not help you.

No visibility

You find out from your bank

Without direct access to statements, batches, and deposits, the first sign of a problem is usually a missing deposit rather than a notice you can act on.

The solution

Underwrite the business. Configure the compliance. Keep the account.

PayWavez treats compliance as setup work that happens before your terminal ships — not as paperwork you are handed after approval.

Your own dedicated Merchant ID

Every PayWavez merchant is issued a real, individual MID in the business’s name. Your processing history and your standing belong to your account, not to a pool.

Underwriting that reads your file

We review the business itself — licensing, what you actually sell, how you describe it, refund practices, and processing history — instead of approving a category code and revisiting it later.

Compliance configured at the terminal

Where surcharging is permitted, the terminal applies the program to credit transactions only, prints the required disclosure, and holds the rate within card network limits. Debit is never surcharged.

Automated PCI compliance

PCI compliance is handled and kept current as part of your account, with no separate PCI fee.

A person who knows your file

When a state amends its rules or you add a product line, you reach a PayWavez team member directly rather than a general support queue.

Portal visibility from day one

Statements, batches, and deposits are in your merchant portal, so you can see what settled and when without waiting on anyone.

Program availability depends on underwriting and on the surcharging rules in your state. We will tell you which of the three programs your business qualifies for before anything is configured.

Prep flow

Four steps before you apply.

Compliance-sensitive applications move at the speed of their documentation. Working through these four steps first is the single biggest thing you can do to avoid a stalled review.

1

Gather your licensing

Business license, any state or category-specific permits, and your entity documents. If your category requires testing or certificates of analysis, have current ones on hand.

2

Write down what you sell

A plain product or service list, including anything seasonal or newly added. Underwriting reviews what you actually sell, so a vague description slows the file down more than an unusual one.

3

Audit your own claims

Read your website and packaging the way a reviewer will. Outcome promises, health claims, and guarantee language are the most common reasons a compliant business gets flagged.

4

Pull your processing history

Recent statements, your chargeback and refund history, and the reason a prior account closed if one did. Volunteering a closure explains it on your terms rather than someone else’s.

Have this ready

Documents to have on hand before you apply

  • Business license and any category-specific permits
  • Entity formation documents and your EIN
  • Product or service list, with current lab or testing documentation if your category uses it
  • Your website URL and current refund, shipping, and disclosure policies
  • Two to three recent processing statements, if you have processed before
  • Business bank account details for funding

Identity and bank verification happen inside the secure Iris application, not on this page. PayWavez never collects Social Security numbers, dates of birth, or bank credentials through a form on this website.

Bring the documents. We’ll read them.

Move through identity verification and start accepting payments in as little as two minutes. No sales call required, and no obligation.

Rather talk it through first?

Ask before you apply.

If you are not sure whether your category or your current claims will clear underwriting, ask us first. We would rather tell you what to fix than decline you later.

Your merchant portal

After approval, everything is in one place.

Compliance-sensitive merchants need to be able to answer questions about their own account without filing a support ticket. The PayWavez merchant portal is where you do that.

Statements and batches

Review settled batches and monthly statements yourself, so you can reconcile deposits and answer a bank’s question the same day it is asked.

Deposits and funding status

See what has funded and what is in transit, with next-day funding available on qualifying accounts.

Account and program settings

Check how your program is configured — including the surcharge or dual pricing setup on your terminal — and request a change when your state’s rules or your product mix changes.
